    Reliant Medical Group is seeking a Interpreter Services Coordinator to join our exciting and innovative organization!

     

    Position: Full time 38.75 hours per week

    Hours: Monday through Friday 8:30AM -5:00PM 

    No Weekends, No Holidays 

     

    Responsible for the coordination of department functions to ensure an efficient and effective Interpreter Service Department. Primary Administrator maintaining all Interpreter schedules including assigning interpreters to ensure all Limited English Proficient (LEP) patients are provided with legally required interpreting services support. Has continuous contact with the patients and multi-level staff personnel on matters requiring tact and a solid understanding of department policies and procedures. Ability to work independently and in a team setting.

     

    Responsibilities

    Maintains all Interpreter schedules and Epic templates, making changes and updates as needed. Including all Worcester, Per Diem and ASL schedules. Communicates changes to appropriate parties as assigned. Monitors schedules for accuracy and ensures they adhere to the standards / protocols set for the department. Ensures communication with the team including the manager for any employee availability changes.

     

    Process incoming schedule for all LEP patient appointments where an interpreter is requested for any and all languages. This includes all interpreters, Per Diem, contracted Individual or agency coverage also including but not limited to, documenting returned assignments and communicating occurrences with manager. Support with requesting ASL/CDL interpreter through vendor/independent contractor portal.

     

    Primary Administrative support for the Interpreter Services department including supporting the Manager which may include but not limited to, addressing and accurately filing incoming / outgoing email, mail, faxes, filing documents, encounter forms, coding invoices, running data and updating monthly reports.

     

    Process payroll for assigned staff following standard procedures. Works with Manager to ensure time off and adjustments to time are accurately recorded in the payroll system. This includes reviewing per diems encounter forms and entering per diem staff’s hours into payroll system.

     

    Resolves payroll discrepancies if any or as needed.

     

    Maintains the confidentiality of all information.

     

    Monitoring and updating Interpreter Services Med Share calendar and the other various data on the website. Monitors all staff compliance trainings, along with maintaining staff Flu & PPD documentation, and any other regulatory requirements and notifies Manager when there are discrepancies.

     

    Ensures completion of mileage reimbursement review and tracking when necessary.

     

    Supports the daily operations of the department including answering calls, addressing the callers concern (medical calls only if have a certificate of completion for Medical Interpreter training), directing callers appropriately and other general office duties.

     

    Assists with coordinating meetings and with the documentation of all minutes. Sets up for meeting space as required.

     

    Ensure office communication board is updated daily.

     

    Performs a variety of special projects that will enhance the efficiency of the Interpreter Services department and the communication throughout organization, within position responsibility.

     

    Coordinates the assignment of tasks and helps resolve technical and operational problems.

     

    Assists with budget compliance and adherence in staffing and supply under the direction of the manager.

    Evaluates the impact of solutions within position responsibility to ensure goals are achieved.

     

    Coordinates and assists in onboarding of new interpreters.

     

    Notifies Manager of unsatisfactory conditions that may arise

     

    Ensure all Translation requests are processed in a timely manner.

     

    Performs cross-functional duties as necessary/assigned.

     

    Ensures adequate equipment and supplies are ordered for department within the department budget.

     

    Displays behaviors and attitudes consistent with ensuring the ideal Reliant experience to all.

     

    Complies with health and safety requirements and with Regulatory Governing agencies and report discrepancies to the manager. Assist with developing and maintaining procedures necessary to meet regulatory requirement.

     

    Complies with Corporate and complies and maintains established department protocols, policies, procedures, workflows and objectives.

     

    Communicates and interfaces with providers, staff, patients, family members and others to ensure high-quality patient care.

     

    Attends a variety of meetings, conferences, and seminars as required or directed.

     

    Enhances professional growth and development through educational programs, seminars, etc. 

     

    Performs similar or related duties as required or directed.

     

    Regular, reliable and predicable attendance is required.

    Qualifications

    Spanish bi-lingual required.  Medical Interpreter certificate with concentration in Spanish preferred.  High school diploma or equivalent. Associates degree in Business Administration or related field preferred.  Three to five years’ relevant experience required. Knowledge of interpreting technology. Demonstrated problem solving skills and the ability to effectively communicate verbally and via written reports. Excellent organizational, interpersonal, and communication skills. Demonstrated knowledge of various software applications such as Microsoft Excel, Word, Outlook, etc.
